  • data accuracy — we always keep your personal information accurate and, where necessary, up to date; also, we take every reasonable step to ensure that your personal information that is inaccurate, having regard to the purposes for which it is processed, is erased or rectified without delay;
  • storage limitation — we do not keep your personal information for longer than it is necessary for the purposes for which it is processed;
  • integrity and confidentiality — we process your personal information in a manner that ensures appropriate security of the personal information, including protection against unauthorized or unlawful processing and against accidental loss, destruction or damage, using appropriate technical or organizational measures;
  • individual participation — we notify you about the data collected, grant you the access to your collected personal information and respect your right to demand a correction of inaccurate or misleading data.

We also:

  • do not collect sensitive data or child data;
  • never sell your personal information.

Sources we use to collect personal information

We collect personal information from:

  1. This Website;
  2. Email, text, and other electronic messages between you and us;
  3. Public sources, including but not limited to social media;
  4. Our clients while providing services for them.

We process personal information that our clients give to us to provide our services. In this case, we process the information according to the Data Processing Agreement (aka Addendum) within the scope and for the purposes defined in the Service Agreement.

Types of information we collect

We collect the following information and use it only as described here:

Personal Information. This may include your name, email address, organization, phone number, photo, CV, social media profile, and other information that you provide by filling in forms on our Website. Personal information does not include anonymized information that we collect using such services as Google Analytics. Normally, anonymized information allows us to understand your browser type, referring website, time of your visit, approximate location, and some other details. It does not permit us to isolate your individual identity. However, we may match anonymized information with your identifying personal information that you provided to us or we received via public sources and other sources.

Third-Party Account Data. We do not store passwords you employ when accessing third-party services. When you permit us to connect with any third-party service, for example, a social media account or another comparable one, you allow us to access and store your email address(es), current location, profile photo, URL, and other information the third-party service gives us access to. You also authorize us to use and disclose it in accordance with their privacy policy. So, we recommend you check your privacy settings on these third-party services to understand the information sent to us through these services and change those privacy setting if needed. We transmit and sometimes store, such account data, only if we must, to get in touch with you, and only as the policies and terms of the third-party services allow.

Content of Communication with Us. If you contact us via website forms, live chat, email, or any other text messages, we may keep a record of that correspondence.

Public Comments on the Services. We may display a customer’s personal testimonials about our services. With your consent, we may post on our Website your testimonial along with your name. If you wish to update or delete your testimonial, you can reach us via the contacts available in the respective section.

Usage Information. This includes information, such as pages viewed, referral source, your IP address, browser type, identifiers associated with your devices, dates of visits, time spent on the Website, and other traffic data about your activity on our Website as well as any device used. This data is considered anonymized and non-identifying.

Location Data. Your devices (depending on the settings) may share location. We may use your location information to connect you with the closest representative or to determine location-specific needs of our clients to improve our services.

Analytics Data. We gather analytics data as you use our Website to assist us in improving our services and products. We employ Google Tag Manager, Google Analytics, Google Call Tracking, Hotjar, GoSquared, Microsoft Clarity, Fathom Analytics, RB2B, and LinkedIn Analytics as our analytics providers. Cookies and Other Technologies. A cookie is just a little bit of data, frequently with a singular identifier sent by a website to the browser on your device (computer, tablet, or mobile phone), the cookie resides on your device’s hard drive. If permitted by your browser preferences, any website can deposit a cookie on your browser. To maintain some privacy your browser likely permits a website access only to cookies that the website has sent you, but not cookies you received from other websites. Many websites send cookies whenever a user visits in order to track online traffic flows.

When you view our Website, we may also store certain information on your device in the form of a cookie file. We use online identifiers, including cookie identifiers, internet protocol addresses, device identifiers, client identifiers, email cookies, name cookies, time cookies, and other similar technologies to measure the use of our Website and improve its content, to present you with retargeting advertising on other sites based on your previous interaction, and to customize your experience and provide greater convenience each time you interact with us.

Please note, that we do not collect sensitive personal data and child data. “Sensitive personal data” for our purposes means information needing special treatment, in some circumstances requiring you to give us your explicit consent. Among those categories may be your identifying numbers, financial account data, race or ethnicity, political views, philosophical, religious, or various comparable beliefs, belonging to a trade union or professional or trade association, physical or mental health, biometric or genetic data, sex life, or criminal record (including material regarding the suspicion of criminal acts) according to the assorted personal data categories recognized by data privacy laws of Europe and elsewhere. The term “child data” means information about a data subject less than 16 years old.

Purposes of and legal grounds for collecting and processing

Service Provision and Testimonials. We use Public Comments on the Services and the personal information we collect to contact you on service provision or on the provision of testimonials on our services. We process the information our clients give us to provide our services under service agreements. 

The legal basis of the processing of your personal information for this purpose is your consent to such processing. In addition to this, the performance of the contract between you and us is also the legal basis for the processing of your personal data for this purpose. 

Marketing. We use collected personal information, Usage information, Location Data and Analytics Data for various marketing purposes, including:

  • To manage, track, enhance, and personalize our marketing efforts,
  • To develop and serve advertisements tailored to your interests,
  • To improve the content, we publish on the Website,
  • To send you personalized newsletters with our articles, white papers, and research materials,
  • To use for ourselves in-house (like data analysis, auditing, and research for improvement and development of our services, products, content, advertising, and communications).

We send content newsletters to our clients or other individuals with whom we want to develop or maintain a business relationship in accordance with applicable marketing laws. Our targeted email messages typically include web beacons, cookies, and similar technologies that allow us to know whether you open and read the message, and which links you click on. For this purpose, we use the Mailchimp marketing automation platform, which complies with legal data privacy and security requirements. Where required by law, we will ask you to explicitly opt in to receive marketing communications from us. If we send you a marketing communication it will include instructions on how to opt out of receiving these communications in the future.

We might aggregate information available from public sources as well as our various interactions with you via our Website, email, and personal communications with you, and information collected when you connect to our Website using your social media credentials (like Facebook, LinkedIn, Twitter, or Telegram). We combine this data to better understand your experience with our company, fulfill your requests for white papers, articles, newsletters, or other content, and to perform the other activities described throughout our Privacy Policy.

The legal basis of the processing of your personal data for marketing purposes is your consent to such processing.

Analytics. We collect the Usage information, Location Data and Analytics Data from our Website with third-party tools such as Google Analytics to analyze the Website audience. By estimating our audience size and usage patterns, we are able to customize our Website according to your interests and needs, therefore the legal basis for the processing of such information for analytics purposes is our legitimate interest and your consent to such processing.

Recruiting.We collect and use personal data in connection with our recruitment activities. To learn more about how and why we collect these data, please read the relevant section Recruitment activities of our Privacy Policy below.

Sharing of collected information

Sharing of non-identifying information. We may collect, disclose, and share with third parties anonymous and aggregated information that does not identify any individual without restriction. This is needed to do service research, and improve our services. It is also required for use in other commercial purposes.

Sharing of identifying information. We share the information with our subsidiaries, affiliates, employees, subcontractors, and consultants to fulfill our commitments for billing and collection purposes. They treat your personal data with the highest security being committed to following our internal security policies. They also agree on the terms of dealing with personal data stated in the Service Agreement, which they sign prior to getting access to any identifying information.

We share the information with certain trusted third parties to help us provide, improve, promote, and protect the services. We might, for example, employ third parties to assist us in the provision of customer support or data storage, or management of our ads on other sites. These third parties may access, process, or store your information to perform tasks only for the purposes we’ve authorized, and we require them to provide a high level of protection for your information. We limit the information provided to these third parties to the extent it is reasonably necessary for them to perform their functions.

We employ the services of the following third parties, that may have access to your personal information:

  • We use Google Analytics to monitor and analyze web traffic. Google Analytics is a web analysis service provided by Google LLC. (hereinafter “Google”). Google Analytics utilizes the data collected to track and examine the use of our website, to prepare reports on its activities and share them with other Google services.   • We use Google Tag Manager to monitor and analyze web traffic. Google Tag Manager is a tag management system provided by Google. Google Tag Manager utilizes the data collected to track and examine the use of our website, to prepare reports on its activities and share them with other Google services.   • We use Google Ads to optimize our online advertisements. Google Ads is an online advertising platform provided by Google. Google Ads utilizes the data collected to retarget our advertisements, to prepare reports on advertisements efficiency and share them with other Google services.   • We use GoSquared to monitor and analyze web traffic. GoSquared is a web analysis service provided by Go Squared Ltd. GoSquared utilizes the data collected to track and examine the use of our website and to prepare reports on its activities. Personal Data collected: Usage data, Analytics data and Cookies.   • We use Microsoft Clarity to monitor and analyze web traffic. Microsoft Clarity is a user behavior analytics tool provided by Microsoft Corporation. Microsoft Clarity utilizes the data collected (for example, for example, data about user mouse movements and performance data about specific web pages) to track and examine how the users interact with our website and to provide us with analytics of users’ sessions and interactions, and Microsoft Advertising services. Clarity captures the user interactions on our website such as, metadata information about the payload and page; information about user interactions on the site (interaction events, page events, custom events); information about the DOM and mutation events. Clarity assigns a unique user ID to each user. Any information associated with that user ID is Personal Data. Personal Data collected: Usage data, Analytics data and Cookies. Place of processing: in user’s region, in the United States, and in any other jurisdiction where Microsoft or its affiliates, subsidiaries, or service providers operate facilities. Microsoft maintains major data centers in Australia, Austria, Brazil, Canada, Finland, France, Germany, Hong Kong, India, Ireland, Japan, Korea, Luxembourg, Malaysia, the Netherlands, Singapore, South Africa, the United Kingdom, and the United States. Typically, the primary storage location is in the user’s region or in the United States, often with a backup to a data center in another region.   • We use Fathom Analytics to monitor and analyze web traffic. Fathom Analytics is a web analytics software provided by Conva Ventures Inc.. Fathom Analytics utilizes the data collected to track and examine the use of our website and to prepare reports on its activities. Fathom Analytics doesn’t use cookies and briefly processes user’s IP address, and we have no way to identify the user. All personal information is pseudo-anonymized. Personal Data collected: IP address, User-Agent.   • We use RB2B to monitor and analyze US web traffic only. RB2B is a web analysis service provided by GetEmails, LLC. RB2B uses the combination of data collected from various sources (including without limitation Google API, public APIs and the internet), such as 1st and 3rd party cookies, device IDs, and IP addresses, to track and identify US users across their network and to share the profiles of the identified US users with us. RB2B database of personal information only contains profiles that have been matched to US home addresses, and RB2B uses IP ringfencing to only resolve US traffic. RB2B is not intentionally or deliberately focused on providing marketing intelligence with regard to users outside the USA, including those residing in the EEA, Switzerland or the UK. Personal Data collected: users’ own contact and other personal information, such as name, email address, telephone number, job title, employer and location, Usage data, and Cookies.   • We use LinkedIn Analytics to monitor and analyze web traffic. LinkedIn Analytics is a web analysis service provided by LinkedIn Ireland Unlimited Company (“LinkedIn Ireland”). LinkedIn Ireland utilizes the Data collected to track and examine the use of our website, to prepare reports on its activities and share them with other LinkedIn services. LinkedIn Ireland may use the personal data collected to contextualize and personalize the ads of its own advertising network. Personal Data collected: Usage data, Analytics data and Cookies.   • We use the Mailchimp marketing automation platform, provided by The Rocket Science Group LLC, to communicate with our users (i.e. to send marketing emails to them). This service process on our behalf the data about our users and complies with legal data privacy and security requirements. Place of processing: USA. Sharing of information for legal purposes. We share information to comply with any court order, law, or legal process. This includes responding to any government or regulatory request.

Sharing of information for acquisition purposes. If we are involved in a reorganization, merger, acquisition or sale of our assets, your information may be transferred as part of that deal.

Sharing of identifying information with third parties for their marketing purposes.  We will share your personal information with third parties when we have your consent to do so. We do not share personal information about you with third parties for their marketing purposes without your permission.

Storage of collected information

We store collected information in ZohoCRM, our customer relationship management database system. In our CRM databases are stored data about individuals at our client and other companies, people who already have a business relationship with us or people with whom we want to develop a relationship. The personal data used for these purposes includes relevant business information such as: contact data, publicly available information, your responses to targeted emails, website activity, chat history, and other business information added by AltexSoft professionals during personal interactions with you. If you wish to be excluded from our CRM databases, please contact us. Zoho is a GDPR-compliant system. It provides a high level of data security (see Zoho Security & Compliance). While processing personal data during service provision, we use the Microsoft Azure cloud platform, which provides a high level of data security and is also GDPR-compliant. To learn more, see Microsoft Azure Legal Information.

We will keep your personal information for the period that you use our Website or services. If you cease to use Website or services, we will keep your personal information for the minimum period of time required to comply with the purposes set out in this Privacy Policy and relevant legal or regulatory obligations, but not more than twelve (12) months unless otherwise set forth by the applicable laws. Personal information collected and processed with your consent shall be retained as long as we have your consent.

Information obtained via contact forms and online chats is deleted on an annual basis. Your information will be deleted if you did not communicate with the support team for more than twelve (12) months.

Any Usage Information collected for the purpose of analytics will be deleted in not more than twelve (12) months after being collected, unless otherwise provided for by the applicable laws.

Once the retention period expires, personal information shall be deleted. Therefore, the right to access, the right to erasure, the right to rectification and the right to personal data portability cannot be enforced after expiration of the storage period.

Protection of collected information

We keep your personal information secure. It’s only accessible to a limited number of persons who have special access rights to such systems. They are committed to keeping the information confidential to comply with this Privacy Policy, our internal policies, applicable laws, and agreements.

We implement a variety of security measures when a user enters, submits, or accesses their information to maintain the safety of your personal information.

Your rights. Opt-out

The right to information. We provide you with information about parties that process your personal data, the scope of your personal data we process, the purpose and terms of processing, the place of storage, and the security measures we apply.

The right to access. If you contact us and make a request, we will provide you with a copy of your personal data that we process.

The right to rectification. By contacting us, you may update or correct the personal data we process.

The right to be forgotten. By contacting us, you may ask us to delete your personal data from our database. Otherwise, we delete your personal data after the term of processing is expired or after processing is no longer necessary.

The right to restrict processing. By contacting us, you may restrict us from processing your data in the following cases:

  1. Your personal data is not accurate, and after you contacted us we made no changes in the agreed terms;
  2. The processing is unlawful;
  3. The purpose of processing is fulfilled;
  4. You restrict it using your right to object.

The right to notification. We notify you of specific activities with your personal information that we did not mention in this Privacy Policy. This may include receiving your consent to share it with other parties for their marketing purposes. We will also notify third parties that help us process your information if you decide to alter some details, remove, or restrict the use of it.

The right to data portability. By contacting us, you can request a copy of your personal data in a usable electronic format.

The right to object. You may object to specific types of processing, particularly direct marketing. If you do not wish to have your personal information used by AltexSoft to promote our own products or services, you can opt out by sending us an email with such a request to legal@altexsoft.com. If we have sent you a promotional email, you can always unsubscribe using the link that we include in all our emails. You may also send us a reply email and ask to remove you from future email distributions. This opt-out does not apply to information that we exchange when providing our services or other transactions connected with the service agreement.

Recruitment activities

Introduction

This section of our Privacy Policy describes how and why we collect and use personal data in connection with our recruitment activities. It applies to individuals making applications for cooperation with us or those on behalf of whom an application is made (e.g. through recruitment agencies or the referral program).

Types of information we collect

We will collect personal data about you at various stages in the recruitment cycle, including:

  • Basic details (name, address, email, telephone number);
  • CV, experience, skills, education, academic and professional qualifications, and areas of interest;
  • Photographs and documents to verify your identity.

We may collect your personal data from the following sources:

  • Directly from you: where you have directly submitted the application via our website.
  • Recruitment agencies, platforms and websites: where a recruitment agency with your information puts you forward for a role.
  • Publicly available sources: where you are a member of social media boards and/or job websites, including professional networking sites e.g. LinkedIn.
  • Third party sources: results of background, screening and reference checks.

If your application with us is successful, we will collect:

Bank account details, national tax number (or similar), and tax status.

You will receive further information about the processing of your personal data as a member of AltexSoft’s family should your application be successful.

Purposes of and legal grounds for collecting and processing

Your personal data will be used for the following purposes:

  • To consider your application in respect of a role for which you have applied.
  • To consider your application in respect of other roles.
  • To communicate with you in respect of the recruitment process.
  • To enhance any information that we receive from you with information obtained from third-party data providers.
  • To find appropriate candidates to fill our job openings.
  • Any other purposes stated when you provide your personal data information to us.

Legitimate interests 

We rely on legitimate interest as the lawful basis for collecting and using your personal data collected from recruitment agencies, publicly available sources, and third-party sources. Our legitimate interests are the recruitment of staff for our business.

Consent

We rely on your consent as the lawful basis for collecting and using your personal data collected directly from you.

Disclosure of Your Information

We share your information with our subsidiaries, affiliates, employees, subcontractors, consultants and clients, who use it only in accordance with our instructions and as otherwise required by law for the recruitment purposes, defined above.

Data retention

We retain personal data processed in connection with our recruitment activities as follows:

  • If your application is successful, we retain relevant personal data as part of your personnel record.
  • If your application is unsuccessful, we will retain and use the information you provided to AltexSoft as part of your application for a reasonable period of time to deal with any matter which may arise in connection with your application or future applications. In addition, we will use it to contact you (unless you have asked us not to) about any other relevant opportunities that may arise, and for our legitimate business purposes (for example, to make sure we do not contact you about a role for which you have already applied).

Changes to Privacy Policy

We may modify this Privacy Policy from time to time, and will post the most current version on our Website. If a modification meaningfully reduces your rights, we will notify you using the procedures described in this document or by prominently posting notice of the changes when you log in to or use the Website. We recommend that you check this page from time to time to inform yourself of any changes in this Privacy Policy or any of our other policies.
