Folio Adds Expense Tool as Hotels Hunt for Cleaner Spending Control

Folio has launched Folio Expense, a new tool that helps hotel operators manage everyday property spending.
The company is presenting the product at HITEC 2026, the major hospitality technology event taking place in San Antonio from June 15 to 18.
The product expands Folio’s existing platform, which already helps hotels manage procurement, inventory, invoices, and payments. Folio Expense focuses on purchases that happen outside the normal buying process, such as emergency supplies, local service payments, or guest-related costs.
Why hotels need this kind of tool
Hotels usually control spending through approved suppliers and negotiated contracts. That works well for planned purchases, but hotel teams often need to act quickly. A manager may need to replace an item, pay a local vendor, or solve a guest problem before a formal purchase order is approved.
These expenses are often paid with personal cards or tracked through receipts and spreadsheets. That creates extra work for finance teams, especially when a hotel group runs several properties. They must check receipts, code transactions, assign costs to the right department, and understand how each expense affects the budget.
How Folio Expense works
Folio Expense connects expense cards, receipts, approvals, budgets, accounting codes, and payments inside one system. This gives property teams a faster way to spend when needed, while finance teams still keep control.
The platform can automatically code transactions, process receipts with AI, apply spending limits, and split costs across several properties.
What this means for Folio
The launch shows that Folio is moving beyond procurement into broader hotel spend management. Its platform already helps operators buy supplies, process invoices, manage inventory, and pay vendors. Expense management adds another important part of the hotel finance workflow.
Folio has also been growing its role in hotel purchasing. In April 2026, it became the official technology platform for AAHOA Marketplace, which connects it with a large network of hotel owners. Folio says its platform now supports hundreds of hotels and is approaching $1B in annual purchasing volume.
Folio Expense fits the same hotel technology trend as Shiji and FreedomPay, which focused on bringing hotel ordering and payments into one device to speed up service and reduce operational friction. Folio is moving in a similar direction.
